1. Introduction

These Terms and Conditions (“Terms”) set out the agreement between Busara Retreats (“we”, “us”, “our”) and the person booking or attending a retreat (“you”, “your”). By booking a retreat with us, you agree to these Terms. Please read them carefully before confirming your booking.

2. Bookings and payments

  • A non-refundable deposit of £100 for our 3-day retreats is required to secure your place. We reserve the right to change this amount if necessary. Payment can be made in full at time of booking. Payment plan options for the remaining balance are also available.

  • The final balance payment is due 6 weeks before the retreat start date.

  • All prices are listed in GBP unless otherwise stated.

  • One day retreats are to be paid in full at time of booking.

3. Cancellations and refunds

If you need to cancel:

Day Retreats

  • All cancellations must be made in writing to hello@busararetreats.co.uk.

  • For day retreats, cancel up to 7 days before the event and you will receive a full refund.

  • From 7-3 days before the event you will receive a 50% refund.

  • Cancellations within 72 hours before the event are non-refundable.

  • However, you can transfer your booking to another day retreat at no extra cost. 

    Longer retreats

  • More than 60 days before the retreat: deposit retained, any other payments refunded.

  • 30–59 days before: 50% of the total fee refunded.

  • Less than 30 days before: no refund.

  • You may transfer your booking to another person with our prior written consent. You may also transfer your booking to another longer retreat.

    If we cancel:

  • We may cancel a retreat due to unforeseen circumstances such as illness, low enrolment, or force majeure (see Clause 11).

  • In this case, you will receive a full refund or the option to transfer to another retreat.

  • We are not responsible for any travel or accommodation costs outside of the retreat package.

4. Travel and insurance

  • You are responsible for arranging your own travel, visas and travel insurance (including medical and cancellation cover).

  • For overseas retreats, we strongly recommend that your insurance includes repatriation and COVID-related cover.

  • We cannot accept responsibility for any travel delays, losses, or personal injuries not directly related to our retreat delivery.

5. Health and wellbeing

  • Our retreats are designed to support wellbeing, but they are not a substitute for medical care.

  • You must disclose any relevant medical conditions, injuries, allergies, or mobility issues at the time of booking.

  • Participation in yoga, meditation, and all wellbeing activities is voluntary and at your own risk.

  • Please consult your GP before booking if you have any health concerns or are pregnant.

6. Accommodation and meals (where applicable)

  • Accommodation details will be specified in your booking confirmation.

  • We will do our best to accommodate room preferences (single/shared) but cannot guarantee availability.

  • Meals are vegetarian and/or vegan and may include gluten-free or allergen options upon request.

  • Please inform us of any specific dietary requirements at least 6 weeks before the retreat.

7. Conduct

We aim to create a safe, inclusive, and respectful environment. We reserve the right to ask any participant to leave the retreat if their behaviour is unsafe, disruptive or disrespectful. No refund will be provided in such cases.

8. Photography and media

We occasionally take photos or videos during retreats for promotional use.
If you prefer not to appear in these, please let us know before the retreat begins.

9. Liability

You participate in all activities at your own risk. Busara Retreats is not liable for:

  • Any injury, loss, or damage to you or your belongings unless caused by our negligence.

  • Any cancellations, delays, or changes caused by events outside our control.

  • Please ensure your belongings and valuables are covered by your personal insurance.

10. Changes to the programme

We reserve the right to make reasonable changes to the retreat schedule, instructors, or venue if necessary. If such changes are made, we will notify you as soon as possible and maintain the quality of the retreat experience.

11. Force majeure

We are not liable for failure to perform any obligation due to events beyond our control, including but not limited to: natural disasters, pandemics, travel restrictions, strikes, war, illness or government action. In these cases, we will offer to transfer your booking or provide a credit note for future use.

12. Governing law

These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
